  • Within 15 Days of Departure - 100% of the Tour Cost

TCS Terms and Conditions

TCS on Overseas Tour Packages:

TCS (Tax Collected at Source) is mandatory for International Holiday Packages.
TCS will be collected at the time of receipt or invoice, whichever is earlier.

As per Govt rules, 2% TCS will be applicable on purchase of International Holiday Package. 

In case PAN is Inoperative i.e. PAN is not linked to your Aadhar then 5% TCS will be applicable.

The amount of TCS paid is non-refundable in case of cancellation of tour.

TCS is neither a cost nor additional tax, it can be fully adjusted against final income tax liability in your return of income and excess, if any, can be claimed as refund.

What is Schengen Countries & How About Visas


Currently, the Schengen area consists of 26 European countries  Belgium, Czech Republic, Denmark, Germany, Estonia, Greece, Spain, France, Italy, Latvia, Lithuania, Luxembourg, Hungary, Malta, Netherlands, Austria, Poland, Portugal, Slovenia, Slovakia, Finland and Sweden, along with Iceland, Liechtenstein, Norway and Switzerland.

Being part of the Schengen area without internal border controls means that you can visit these countries on a  single valid schengen visa.
 
These countries do not carry out border checks at their internal borders (i.e. borders between two Schengen states); carry out harmonised controls, based on clearly defined criteria, at their external borders (i.e. borders between a Schengen state and a non-Schengen state).

The EU states that are not, or not yet part of the Schengen area, are Bulgaria, Croatia, Cyprus, Ireland, Romania and the United Kingdom .This means that a flight from one of these states to a Schengen state is regarded as an external flight and is subject to border checks, and a separate visa of the respective country other than Schengen visa.

Yes. You need to visit Visa Facilitation Service (VFS) Office for biometrics. VFS is present in all Major Cities like Ahmedabad, Mumbai, Pune, Delhi , Hyderabad, Kolkata,  Chennai etc.
One needs a confirm prior appointment to visit the VFS office. You need to carry documents as per visa checklist, along with your original passports.

The three following factors are determinative on where you should file your Schengen visa application:

  • The number of countries you will be visiting
  • The number of days you will be spending in each
  • The country where you will step in first, in case you visit more than one of the Schengen member states

After having clear three factors given above, then you will be able to decide where to apply, according to the following rules:

  • If you are planning to visit only one country – then you needs to apply at the respective countries VFS representation of the Schengen country you will be visiting, located in your country of residence.
  • If you are planning to visit more than one country – then where you need to apply depends on the number of days you will be spending in each of the countries you will be staying.
When spending an equal amount of days in each – then you need to apply at the    diplomatic representation of the country where you will arrive first.

When spending unequal amount of days in each – then you will need to apply at the diplomatic representation of the country where you will be spending more time.

The independent plan is curated as per your taste & budget and the selection of hotels & activities are offered accordingly.
  • There is no Tour escort, in these independent tours; you will not have the services of a tour manager to assist with any on tour services.
  • Every itinerary for each destination differs from each other in terms of transportation, hotels , amenities & services
  • Traveling independently means that you are on your own, You are guided for the same by us prior to your departure. 

  • The itinerary will include local transportation as follows:
1. Local Trains:  for example in Switzerland, the rail network is connected very well, so the itinerary will be based on rail travel.
2. Ferries/ boats: For example in Greece, the islands are connected by ferries, the itinerary will include sea ferries for connecting between islands.
3. Local buses: To Travel internally in any of the European cities this is one economical mode suggested in many itineraries.  
4. Internal flights: For an itinerary that includes multiple countries for example in a Spain Portugal itinerary, you will connect from Madrid to Lisbon via internal

Below are the different types of tours:

Sic Tours:

  • SIC tours stands for Seat-in-Coach Basis Tours, which means you will share a coach or van with other tourists and you will have an English-speaking tour guide to take you to all the scenic spots listed in the Itinerary that day.
  • In SIC Tours you are required to reach the departure point on your own.
  • Pick up and Drop point of SIC tours may not be the same.

Walking tours:

  • A walk of a historical or cultural site undertaken on foot, frequently in an urban setting. Short tours can last under an hour, while longer ones can take in multiple sits and last a full day. A walk can be led by a tour guide, as an escort.ing tour is a tour
  • Example: Walking tour of Florence, Walking tour of Venice, Walking tour in Vatican City etc.

Hop-on- hop-off bus pass: 

  • Hop on Hop off Bus Pass means you can jump on and off the bus at its designated stops as many times as you want, within your ticket validity.
  • For Example: We have over 45 stops right by London's best attractions, and with buses arriving regularly you're free to explore at your own pace, then simply rejoin the tour when you're ready.
  • You are required to reach the nearest departure point on you own.

Private van tour: 

  • PRIVATE TOUR simply means your tour, where all ground services are provided by your very own personal guide, with a private vehicle and chauffeur, exclusively for your party  nobody else
  • According to driving laws of Europe a driver cannot drive more than 8 Hours and required 15 Minutes break after 2 Hours of Driving, 45 Minutes break After 4 Hours Of Driving. 
  • Hours of Operations will be Maximum 11 Hrs strictly inclusive of all the compulsory breaks in between.  There is no way to extend the hours.
  • The Car is booked for the service mentioned and as per the Itinerary provided by Flamingo only.
  • If Passengers need to use the car for any additional services, Additional, charges is to be paid. The same has to be paid directly and the services should be within the driving hours only.
  • The drivers speaks basic English and he is a driver and not a Guide
  • It is compulsory for all the passengers to wear the seat belt in Europe. Failed to Do so will get the driver fined and will be charged to the passengers. 
What is the difference between a Rail Pass & a train ticket?

A rail pass and a train ticket are two completely different types of travel documents.

Train Ticket: 

  • A train ticket is valid for a single journey between two cities. Many tickets also include a reservation, which mean that they are valid only for a specific train, on a specific date and at a given time.

Rail Pass:

  • A rail pass, on the other hand, is good for travel in an entire geographical area (1 country, 2 countries or more). With it you can take as many train trips as you want within that geographical area, for as many travel days as you purchased, within a set period of time (the pass validity period). 
  • Some sectors/ routes/ panoramic trains. Will still need to have a mandatory reservation, to board the train, even if you are holding a rail pass.

Apartments:

Are generally not serviced and self contained.

Unlike a hotel room, an apartment is equipped with a kitchen or kitchenette and a living area. Rooms range from smaller studio apartments to two- or three-bedroom apartments, which offer a separate living area, a kitchen, one or more bathrooms and separate bedrooms.

There is no room service / housekeeping / restaurant in an apartment, for intermediate cleaning you need to pay additional at the property.

There is no Reception & you have to self check in the apartments.

Apart-hotels:

Apart hotels are self catering, but serviced establishments. They provide the same services and benefits as a quality hotel. It’s actually a small apartment within a hotel.

Apart hotels gives you a home away from home, with hotel services. It’s not a hotel, and not an apartment, it’s somewhere in between. They usually have an en-suite kitchen with cooker and fridge.

They are often run as a hotel, have a day or 24 hour reception, and are usually smaller than apartment.

Hotels:

Hotels can offer breakfasts, housekeeping, laundry services, or room service

Hotels have different room types, like standard, deluxe, suites, city views, sea views, garden views etc.

All Hotels in Europe Collect Tourist city tax locally.


Yes, it’s mandatory to carry International Credit Card, as you need to provide the details at   the booked accommodation as a refundable deposit will be blocked for 15 working days and released post your check out. Any damage to the room/ property, will be charged to this credit card.

Also incase, you book a self drive car, you need to carry the same credit card that you provided at the time of booking.

When I am on FIT / Independent travel does that mean I do not have to bother about timings?

No, you have to follow the timings as per the designated itinerary

Most of the tickets are now E-tickets and can be validated at the entrance of the attraction, in some tours it is compulsory to exchange the vouchers at the supplier office and reach the departure point, so the passengers should carry the hard copies of the vouchers along with soft copies.


Wi-Fi is available at most of the International airports, Public access areas of Hotels, cruise lines, trains in Europe. Buses do not necessarily have Wi-Fi. The speed quality and speed may vary.

Some places may have access to Wi-Fi at a fee.

What to expect from your European Holiday!

1.Please note that Europe Independent is a customized unescorted plan.

2.The Tour Involves traveling by Train, bus, trams, ferries. The travel from one country to another country could be by train or internal flights depending on the distance. The duration depends on the destination.

3.Hotels booked in our tours will be as per your requirement, budget and consent. Could be in city center or outskirts as finalized with you. 

4.Most of the Hotels in Europe are not built with air conditioning due to climatic conditions of Europe. In case of heat wave usually hotels ask to open window and sleep. 

5.Breakfast in Hotels is cold continental breakfast. It has bread, butter, cereals, juice etc. One will not get any Indian items at all in breakfast.  There is no live counter in European cities to serve Eggs varieties.

6.In case of a private van tour Tips are compulsory in Europe for coach captain and Guides .Tips differ as per the country of visit. 

7.Porter services are not available in Europe due to shortage of manpower therefore we insist you to carry minimum luggage with four-wheeler bags as you will have to carry your bags to your room and bring the same back. 

8.If you have an early arrival or late departure, please note that standard check in time is 1400 Hrs and check out is 1000 Hrs. You will have to check in or check out the room accordingly.
 
9.For Private Van Tours :
  • Coach Captains are bound by European laws and restrictions about driving hours per day and per week. All itineraries are planned as per them. Therefore it is absolutely essential for passengers to follow the time very strictly and punctually. 
  • Our coaches will not have any WIFI facilities on board. 
  • Final itinerary is compiled by keeping European driving laws & regulations in consideration
  • Guests are required to adhere to the timings as mentioned in the itinerary.
  • All services are confirmed as per the timings mentioned in the itinerary.
  • Any delays will result into curtailment or complete cancellation of service.
  • We shall not be responsible for any alternate or compensative arrangements.
  • Guests are requested to present themselves minimum 30 minutes before commencement of any service.
  • Guests are requested to carry their passport at all times & produce when required by the local governing authority.
  • Any extra service/s consumed beyond confirmed service has to be paid & settled directly.
  • If Tour Manager Not included then Lead passenger has to take responsibility for time/place co-ordination with the drivers, hotels, restaurants, guides, attractions entrances, etc.

Please note EC regulations for Long Distance Coach Drivers: 
  • Driver is not to exceed 12 hrs on duty with the group
  • The duty time with the group would be reduced as required,
  • Incase the Coach parking location is someplace other than group stay hotel
  • In one day, a driver is not permitted to drive for more than 9 hrs
  • In one day, a driver must have 11 consecutive hours of rest
  • Driver is required to have a min. rest time of 45 minutes for every 4 hours of wheel time
  • One driver could drive maximum 12 days continuously then 2 days rest is mandatory.
  • Coach will not remain at disposal as per clients request

10. Meals:
  • Breakfast: Your breakfast is normally a continental breakfast which usually will have Tea or Coffee, Juices, Cereals, Milk, Breads, Butter, Jam. No Indian item or Jain item may be available.
  • Tap water is suitable for drinking.

11. Hotels:
  • Unlike Asian or other countries most of the hotel rooms in Europe are relatively small and not all hotels have air-conditioners or fan due to climatic conditions.
  • For the Hotels booked for you, a chart will be provided with all specifications like star category/ room size, ac/ non ac / rating/ distance from city center.
  • Please note that size of the Double and Triple rooms are usually the same. In Triple room, third bed is typically a roll- away bed or an extra bed. Generally rooms in European hotels are very compact and small in size( Approx 15m2-18m2).
  • Please note that standard check in time is 1400 Hrs and Check out is 1100 Hrs in Europe. (It may vary from Hotel to Hotel). Early check in requests are charged additionally by the hotel 
  • Room Rates are based on Standard Rooms. Supplement cost will be applicable for Sea Facing /Lake Facing / Deluxe / Suite Rooms.
  • Not All hotels in Europe Offers Free WIFI and if required it must be purchased directly from the reception.
  • Every hotel charges, Tourist tax, also called ‘city tax’, usually consists of a fee that applies per person, per night. The tourist tax is payable locally, and usually at the time of check in or check out from your accommodation. The European cities have implemented this tourist tax to improve the tourism sector. The taxes are considered as resources to protect the environment, cultural heritage, or social purposes of a destination. 
  • Allocation of the Rooms is done only while check-in by the Hotel Front Desk and are not in our limits.  Adjacent rooms/ Rooms on same floor cannot be committed or guaranteed.
  • Cooking anything in the hotel is strictly prohibited, in case of not following the rules, heavy penalties are levied to the passenger.
  • Any damage caused by the passengers in the hotel or apartment rooms. For example: Breakage of any assets, oil stains in the rooms, scratches on the glass or wooden flooring. Heavy penalties will be charged by the hotel to be borne by the passengers. Such penalties will be charged on the refundable deposit paid at the properties or asked additionally.
  • As tap water is drinkable in Europe. Hotels do not provide complimentary drinking water.
  • Tea Kettles are not provided in all the Hotel Rooms, we suggest to carry your own.
  • No room services/ No bell boy / No proterage at any Hotel / Apartment
  • On check in, in Apartments & Hotels, Refundable Deposits are blocked at every Hotel / Apartments on forex card or Credit card only. It may take upto 15 Days to 1 Month for the deposit to reflect back into your account.
  • Incase of Apartment Booking immediate 25% cancellation charge will be applicable in any case & further cancellations will be applicable as per policy and a few apartments are also non refundable kindly check at the time of Booking 

12. Sightseeing & Tours:
  • Seat in coach tours have a city centre pick up. City centre point to be reached on your own, it is the responsibility of the customer to ensure that they reach on time at the designated place of pick up & If you are unable to reach on time then it will be considered as no show & no refund will be given for any unutilized service & customer will have to make their own private arrangement of missed tour at their own cost.
  • SIC tours have fixed route & itinerary & will not deviate from the same
  • Optional sightseeing has to be booked in advance by paying an additional cost.
  • All Monuments entrances are not included in SIC tours unless specified
  • It is very common to have major events, strikes, cycle races or marathons or heavy traffic or due to any unforeseen circumstances some part of cities are not accessible to general public. In a case like this if sightseeing/ local transport is disrupted, there will be no refund for the unutilized services.

13. Luggage :
  • Please note in case your itinerary includes an internal flight, the baggage allowance will be limited, depending on the airline & sector you are issued on please check and pack as per the allowance, even if you are allowed more luggage in the main flight. Generally most of the airline allow 20 kgs Check in and 7 Kgs Hand luggage.
  • Please note it is compulsory to web check in for all internal flights, in case you do not web check in, the check in is chargeable at the airline counter.

1.Passport Copies: First and Last Page (All Passports Must Be Valid for Minimum of 6 months from the date of Return.)

2.PAN Card Copies of All Passengers. 

3.Fully Vaccination Certificate with Booster Dose if taken or If Booster is not taken then please takes the same and Give updated certificate. (Non-Vaccinated or Partially Vaccinated Travelers are not allowed to Travel) 

4.If Billing is to be done in Company Name Company GST Number& Certificate is required. 

5.Deposit of INR 50000/- per person to confirm the land package & full payment to be  

6.Expired Passport & Booking:
  • If you book your Tour knowing your or one of your family members passport is expired or in renewal we will not confirm your seat in particular tour date. 
  • If you want particular travel date only, in that case if passport do not come on time or appointments are not available to do the visas, cancellation will be applicable. Flamingo Transworld cannot be held responsible for the same.
  • If you wish to avoid such cancellation please confirm the date once passport is received as per availability at the time.

3.Billing Details (If you need to claim any GST or TCS or needs your Bills in your Company Account, GST No and Proper Billing details needs to be submitted before booking is made. To make changes in Our Accounting System after Invoice is raised is not Possible) 

4.For Overseas Medical Insurance do mention if you have any exiting Diseases. 

5.Inform your Sales Staff In case if you have anyone who is travelling with you is not very mobile and may require long time to walk or need wheelchair. In Europe we do have many many cities where one is require to walk long and city tour is by foot. So, check before booking that you are not booking any wrong Tour for you or your family. 

6.Any Visa Rejection in Past. 

Understand Cancellation Policy!
It is very important to understand the cancellation Policy before booking. Especially understand cancellation in each scenario mentioned below.

1.In case if Visas are rejected 

Cancellation charge incase of visa rejection :
If UK Visas Rejected: 

Visa Fees of UK Visas – Rs.13000/- per person

Service Charge – Rs.5000/- per person 

Ticket Cancellation – Rs. 18000/- per person 

If Schengen Visas Rejected:

Visa Fees Of Schengen: Rs. 9800/- Per Person (Around Rs.7800 Paid by passengers Direct and around Rs.1983 Paid By us) 

Service Charges:Rs.5000/- per person 

Ticket Cancellation – Rs. 18000/- per person

(Within 60 Days of Departure):

Cancellation will be charged as normal Tour Cancellation Policy as mentioned below. 
*5% Service Tax is applicable on all cancellation amounts.

2.In case if you cancel the tour due to Personal Reasons 

60 Days or more prior to Departure: Rs. 50000/-

59 to 35 Days prior to Departure: 50 % of the Tour Cost

34 Days to 15 Days prior to Departure: 75 % of the Tour Cost

Within 15 Days of Departure:  100% of the Tour Cost

*5% Service Tax is applicable on all cancellation amounts.
*Any sightseeing entrance / train tickets/ flight tickets issued are non-refundable from the time of booking them. 

Payment Policy to Make the Payment!

1.TCS  , is applicable on our Total Tour Cost, depending on your annual purchase of  overseas transactions you will be either paying 5 % or 20 % TCS, which can be claimed back. (Which is not part of Total Tour Cost and Charged additionally) 

2.Rate of Exchange at the time of Payment. 

a. ROE will be applicable on the day when you make final payment. 
b. ROE will be determined as per interbank rate on www.xe.com  + Rs.1 on the day when you make payment. 
c. We are ok if you wish to make early payment in case EUR exchange rate goes lower. You can keep checking the same on www.xe.com. 

3.Payment Schedule: 
Initial Deposit: INR 50000/- per person is required to confirm the seat. 

2nd Payment 75 Days before departure: INR 80000/- (This payment will be considered toward Indian Rupees Cost) 

3rd Payment 45 Days before departure: INR 50000/-

4th Payment 30 Days before departure: Remaining Full Payment 
 
4.Please note that it is mandatory to adhere to above schedule no matter if your visas are received or not. 

Airline

1. Please Check your baggage allowance as per your airline. 
2. Web Check in to be done by passenger on their own.
3. Please note that as soon as tickets are issued one falls under ticket cancellation. 

Visas
1. Appointment Server is down many times during the day so it may be possible that it may take little longer to take your date.

2. VFS collects a charge to take Appointments as well. The fee for same needs to be paid to Flamingo by passengers.

3. You will have to go for finger prints at VFS for both the visas. Please make sure that there is no mehendi/ heena or anything else on your hand which can interfere with taking biometrics. 

4. If you are applying for 2 Visas you will have to update your bank statements again after 1st application is done. 

5. Even if you have given documents early you are required to update you bank statement 3 days before submission date. 

6. Any Extra services you take like SMS, Premium Lounge, Courier Charges etc is not covered by Flamingo. 

7. Visa Dates are difficult to get now a days. Many times, when we wait to know passenger’s preference our dates are gone so to give choices for visa date submission is not possible and you may not get a choice. 

How Booking Process Will Follow!

1. Upon receiving inquiry request, our travel consultants will start to assist you in building a pleasant travel plan according to your special requirement and interest.

2. Upon receiving package confirmation from you, we will initiate to check as per current availability of proposed hotel or similar & rates / airline rates / internal flight & train rates & send final package cost. Kindly accept the package confirmation in written to process the booking


3.  It is compulsory for customer to check the hotel reviews on booking.com / Trip advisor and give final confirmation in Email.

4.  Upon the receipt of a deposit we’ll secure your reservation and process your final booking immediately & will be confirmed post 48 hours of process. However, it is possible that at the time of booking (and especially during the peak season) the hotel or the room category mentioned by us is full. In that case we will give you an alternate hotel or an alternate room (higher category or lower category). Change in costs, if any, will be intimated to you and balance payable by you or to you will be paid by you or refunded to you as the case may be.

5.  Once your booking is confirmed, we will send you a confirmation letter with the proposed flights, hotels, and tours in details. Should any conditions change after the confirmation, we reserve the right to make changes and provide you with the similar alternative options.

6.  This package is customizable, which means that changes can be done to the itinerary/activity, if you desire so. Any alterations may result in additional payment & the final payment will be calculated as per the changes made in the itinerary which will be outlined in the confirmatory e-mail sent to you.

7. Passport Copies of First and Last Page of All Passengers (All Passport Must be valid minimum 6 months valid from the date of your return and it’s solely passengers responsibility to check before submission. Any booking which has been action on non-valid passport passengers are liable to pay any charges incurred due to the same)

8.  Deposit Amount: Rs.50000/- per person to secure your Tour and if booking is within 60 Days of Travel then deposit require as per the payment required on that particular date as per payment policy mentioned below,   Copy of your PAN Card is mandatory to provide along with payment.

9.  Final Vouchers can only be issued once full payment received. No amendment requests will be accepted 10 days before the departure.

10. Once you fully understand our Tour Product and what to Expect from Product. Please read all Terms and Conditions carefully along with above document and sign Booking Form with all your details.

11. Once booking is completed, please pay Initial Deposit to confirm all your services. Once the formalities done you will be handed over 2 Documents Visa Check List & Questionnaire to be filled for Visas.

12. Once the Initial deposit payment is made your land bookings will be processed, full payments towards tickets are required to issue.

13. Please make sure to submit all documents as per visa check list and filled questionnaire within 3 days of Booking. You may take up to 7 days if you are booking your tour at least 100 days in advance.

14. Once all documents are absolutely complete then only, we will be able to take visa date. Even if single document is pending visas cannot be processed. 

15. For UK Visa: You will be sent your visa form to check. Please check in thoroughly and give a go ahead only then our visa team will take the date for submission of UK visas. 

16. For Schengen Visas: If your visas are being applied from Swiss following amount needs to be paid directly in cash at the VFS 
Adult: INR 7800 // Child (4 – 6 Years) INR 4800 // Child (Below 4 yrs) INR 840

This amount is included in your tour cost and will be reduced from Final Payment that you make.

1.Time Taken Once Documents Submitted with VFS
a. UK – 2 weeks to 12 weeks
b. Schengen – 15 to 25 Working Days

*These are tentative durations. Processing time may change depending on the rush with consulate.

2. Pre –Departure Presentation: This is the event which we usually organise between a week before departure. The date and time will be conveyed to you by our office. Please note IT IS MANDATORY TO ATTEND THE SAME.

3. Final Tour Documents: The same will be handed over to you 7 Days to 3 Days before your departure. (As per company policy we are not allowed to dispatch any tour documents if Payment is not fully done). We will try to adhere to above timeline in all cases. In case of heavy rush or unavoidable circumstances we may have alterations in the same.

4. You will be then directed to below persons for Further Process of your Tour Bookings, Visas & Payments.
