In some of the European Cities Soup, Starters and Sweets served are limited.
Due to unavoidable circumstances any meal on tour can be packed meal due to operational reasons.
Some of the meals in the itinerary may have Pizzas & Pastas (Dominos or Local Pizzeria), Subway Sandwich or Taco Bell to provide variety of cuisine. The same is not guaranteed and entirely depends on availability. If we are doing this meal Indian Meal or Indian Items will not be available that day. There may be 1 or 2 meals like this in the itinerary.

TCS Terms and Conditions

TCS on Overseas Tour Packages:

TCS (Tax Collected at Source) is mandatory for International Holiday Packages.

TCS will be collected at the time of receipt or invoice, whichever is earlier.

As per Govt rules, 2% TCS will be applicable on purchase of International Holiday Package.

In case PAN is Inoperative i.e. PAN is not linked to your Aadhar then 5% TCS will be applicable.

The amount of TCS paid is non-refundable in case of cancellation of tour.

TCS is neither a cost nor additional tax, it can be fully adjusted against final income tax liability in your return of income and excess, if any, can be claimed as refund.

The best time to visit Europe depends on what you wish to see during your visit, budget and the temperature range in which you’re the most comfortable.

Below is an overview, of what to expect in different parts of Europe in each season of the year.

Spring: April to May

Spring in Europe is that time of the year, when the weather gears to warm up. The weather ranges between 10 to 20 degrees Celsius.

In April you see fewer crowds as compared to May. The tulip season in the Netherlands, the flowers looking at their best in April & May.

May is one of the nicest months in Europe.

Countries like Italy, Spain, Portugal, Malta, Cyprus, and Turkey are less crowded in this period, and have a cooler weather as compared to the summers.

Summer: June to August

Summer in Europe in a fantastic time to visit. The weather ranges between 10 to 30 degrees Celsius.

Known for, longer daylight, warm weather & filled with outdoor festivals & activities.

You can travel to different parts of Europe- Western, Central, Eastern Europe, Scandinavia, all are pleasant & perfect during this time of the year.

Countries like Switzerland, France, Spain, Croatia, Greece, Italy, Finland, Norway, Iceland, Denmark, Sweden, UK, Ireland, are worth a visit, they also happen to be the busiest months for these countries. You need to plan 4- 6 months in advance to get best deals & availability for the travels in the months of June, July & August.

Fall: September to October

The temperature and weather during autumn is cool and pleasant enough to travel around Europe. Rains are fairly common, making the weather wet and cold at times. The weather ranges between 7 to 15 degrees Celsius.

The best things to witness in September is Festivals like Oktoberfest in Munich, Northern lights in Iceland mid-September onwards, wine festival in France.

Countries like Iceland, Germany, France, Netherlands, Belgium, Spain, Nordic countries, Austria, Czech Republic, Hungary & other Eastern European countries can be visited during this season.

Winter: November to March

While the days are shorter and the weather is dramatically cooler, winter in Europe is a very different experience. The weather ranges between 7 to -10 degree Celsius.

You will witness the Christmas celebrations, which is one of the biggest holidays across Europe. Experiences like visiting White Christmas in Christmas markets, Santa Claus village in Finland, Ice breaker cruise, staying in ice hotels, igloos or enjoying skiing and other snow-based activities, can only be enjoyed during the wintertime – and are definitely a quintessential part of experiencing Europe. Yes. You need to visit Visa Facilitation Service (VFS) Office for biometrics. VFS is present in all Major Cities like Ahmedabad, Mumbai, Pune, Delhi, Hyderabad, Kolkata, Chennai etc.

One needs a confirm prior appointment to visit the VFS office. You need to carry documents as per visa checklist, along with your original passports.

After having clear three factors given above, then you will be able to decide where to apply, according to the following rules:

If you are planning to visit only one country – then you need to apply at the respective countries VFS representation of the Schengen country you will be visiting, located in your country of residence.

If you are planning to visit more than one country – then where you need to apply depends on the number of days, you will be spending in each of the countries you will be staying.

=> Coach:

Please note that Europe Tour is a coach tour, and the Same is on the go. There are no free days. You will be traveling and exploring for Full Day. You will move out of the hotel in the morning and come back after dinner only.
The Tour Involves traveling by bus every day. We travel from one country to another country by bus.
Itinerary involves at least 1 – 6 Hours of Traveling daily depending on the Itinerary. To know more please refer to our itinerary which clearly mentions all the traveling time along with kilometers.
Coach Captains are bound by European laws and restrictions about driving & resting hours per day and per week to achieve safety of all travelers. All itineraries are planned as per them. Therefore, it is essential for passengers to follow the time very strictly and punctually.

For our tours we do have all sizes of coaches such as 30-seater, 49-seater and 55-seater. We choose coach as per number of participants in the tour and we tend to use full capacity of our coach with no seat or hardly a seat or two empties in the coach.

Our coaches will not have any WIFI facilities on board.
You cannot eat/ drink or consume liquor in the coach.

Vehicle driving rules:

Please note that according to driving laws of Europe a driver cannot drive more than 8 continuously.
Hours and required 15 Minutes break after 2 Hours of Driving. 45 Minutes Break After 4 Hours Of Driving.
Hours of Operations will be Maximum 10 Hrs. strictly. There is no way to extend the hours.
The Coach is booked for the service mentioned in the itinerary only. Modification of the itinerary is not possible.
The driver will not be an English-speaking driver.
The coach size will be confirmed once the group size is finalized

=> Hotels:

1. Location, Size & Star Category

Location: Hotels will be outside city center. Most of them are in airport areas or in nearby cities / suburbs.
Most of the Hotels are not built with air conditioning due to climatic conditions of Europe. In case of heatwave usually hotels ask to open window and sleep.
Unlike Asian or other countries most of the hotel rooms in Europe are relatively small and not all hotels have air-conditioners or fan due to climatic conditions.
You will find a list of hotels which we usually use in the Itinerary section, with the star category, please check the same individually on their website for detailed information.
Please note that standard check in time for Groups is 1600 Hrs and Check out is 1000 Hrs in Europe. (It may vary from Hotel to Hotel)
Our Tour Cost is based on Standard Rooms at each hotel. Supplement cost will be applicable for Sea Facing /Lake Facing / Deluxe / Suite Rooms.
Not All hotels in Europe Offers Free WIFI and if required it must be purchased directly from the reception.
Due to major international events and trade fairs throughout Europe such as Air Show, Euro - PCR, World Athletic Meet, the Motor Show, Ice Skating Championships etc., the hotels may be blocked out more than two years in advance. In view of this, you may have to stay in hotels further away from the cities and the itineraries may have to be altered / amended.

2. Check Ins & Check Out

If you have an early arrival or late departure, please note that standard group check in time is 1600 Hrs and check out is 1000 Hrs. You will have to check in or check out the room accordingly. Also, our tour starts with dinner on 1st day and ends with Breakfast on Last Day. We can provide extra meals at a cost if required.

3. Types of Rooms & Beds:

Double room is for 2 people sharing
Triple room is for 3 persons sharing one standard room
Child no bed (CNB) is for below 6 years age
Child with bed (CWB) is for 6-12 years age (we recommend)
Most hotels have more Twin rooms (2 single beds). Double rooms (1 queen sized bed) are available upon request but not guaranteed. If the Double room is not available a Twin room will be given.
Please note that in case child sharing parent’s bed and booked as CNB many times bed size in the room is either Queen size or Twin beds may come. Therefore, we recommend booking child with bed for children above 5 years.
Please note that size of the Double and Triple rooms is usually the same. In Triple room, third bed is typically a roll- away bed or an extra bed.
Many hotels in Europe do not allow 4 people in one room due fire and safety regulations. In such cases one may have to go for 2 rooms.

Also due to size constrain even if any hotel allows it is not recommended to take an accommodation for 4 persons in one room as the same is uncomfortable and getting ready will be a task due to tight schedules of the tour.

4. Breakfast:

All breakfast will be continental throughout the tour. It has bread, butter, cereals, juice etc. One will not get any Indian items at all in breakfast. There is no live counter in European cities to serve Eggs varieties.
Many times, Group breakfast served at different dining area and may not have the same spread as normal spread.
Now a days many hotels have breakfast area adjoin reception area and may not be different area.

5. Porterage:

Porter services are not available in Europe due to shortage of manpower therefore we insist you to carry minimum luggage with four-wheeler bags as you will have to carry your bags to your room and bring the same back.

=> Tips :

Tips are compulsory in Europe for coach Captain, Guides & Restaurant Staff. Hence you will have to pay 3 Euros per person per day on the tour upon arrival to your Tour Leader. It is compulsory.

Tips are compulsory for all Travelers irrespective of their age. Adult / Child / Infant all must pay the Tips as per norms.

=> Meals :

Breakfast: Your breakfast is normally a continental breakfast which usually will have Tea or Coffee, Juices, Cereals, Milk, Breads, Butter, Jam. No Indian item or Jain item may be available.
Lunch & Dinner: All our Lunches and Dinners will be pure vegetarian meals. Your typical meal will consist of Two Main Veg Dishes, Naan or Roti, Dal, Rice, Salad and Sweet or Ice Cream.
If you are non-vegetarian, please request us at the time of booking. We do not provide any nonveg item in Lunch. Dinner there will be one item will be served on your table
Jain passengers: Please note, the Jain food which may be provided will be without onion, garlic & potatoes. Any further restriction from the same for vegetables etc. cannot be accommodated. Also there will be restricted choice of vegetables, curries items for Jain passengers as many vegetables
Some of Meals will be Packed Meals on the Tour for betterment of itinerary and convenience of our passengers. Also, during the tour due to unforeseen circumstances meals can be changed to packed meal.
At Mt. Titlis, Jungfraujoch and Cruise they have meals as per their policy.
Drinking water will not be provided during the tour because tap water is suitable for drinking.
Meals Doesn't Include any Water Bottles, Beverages Hard/Soft drinks, Fruit Juices.
In Some European cities soup, starter or deserts served are limited.
Some of the meals in the tour can be pizzas and pastas to provide variety of cuisine.
Please note that lunch and dinners are in restaurants, which may be far from your hotels, sightseeing or city center.

=> Sightseeing & Tours:

Eiffel Tower:

1. Please note that Eiffel Tower ticket time slots to go up needs to be pre – purchased and the same has very limited availability. If the same is not available, we may have to queue up and the queue may last up to 2 to 3 hrs.

2. Many times, due to strong wind or overcrowding on the 3rd level they stop the sale of the tickets and / or do not allow going on the top (3rd floor). In such cases there will be a refund of adult– 12.5€ // Youth (aged 12-24) - 11,30€ // Child (aged 4-11) – 3.2€

3. Eiffel Tower illuminations are subject to weather conditions and Eiffel Tower policies.

We do not visit any monuments from inside in our City Tours unless Inside visit is specified in our inclusions.
We do visit Leaning Tower of Pisa but from outside only as the same is 8 story building with 295 steps to climb and no lift. We do not have entrance included.
As the coaches are forbidden in Historic Centre of Rome, Florence and Venice the tours will be done by foot and sufficient amount of walking is involved.
Many other city tours on the itinerary will be done by walk fully or partly to be able to explore better.
All European tours, involve walking on daily basis. Depending on the cities, sightseeing that you are visiting.
It is very common to have major events, cycle races or marathons or heavy traffic or due to any unforeseen circumstances some parts of cities are not accessible to general public. In a case like this we may have to do tour walking or amend the itinerary, or we may not be able to do City Tour, Sightseeing or Meal. We will try our best to take a way out but still if we miss something or amend something there will be no refund.
Many times, Sightseeing announce closer or maintenance at very last moment where change of itinerary is not possible, we will offer alternative sightseeing where possible. Please note that in any case there will not be any refund.

=> Luggage:

On Tour Luggage Allowance in the coach is one handbag and one suitcase per person, due to the limited space in the coach, even if you are allowed more luggage in Flights, one must follow coach luggage allowance and any extra bags can be accommodated.
As there are not porters available in the Hotel, please note that passengers have to handle their own baggage to and from coach to their rooms.

=> Group & Tour Manager:

Our group tours have passengers participating with mixed ages. The age group of the passengers joining our tour, is not in our hands
Co-Operation with your co-passengers is expected on tour. Each of you may be with different age, different backgrounds, different language, and together all should enjoy together.
For Flamingo Travels, Each Passenger is the same, and we treat each one equally.
The Tour leader will be speaking in English/ Hindi/ Gujrati
The Tour Director may not be travelling with you in the flights. He will receive you at your destination either at airport or at hotel depending upon your arrival timings.
Usually, Tour Directors pick up passengers from airport and stay with them for the full duration of the tour. But in case if any eventualities there can be change in Tour Direction during the tour. However, be rest assured for the same services will be provided.

=> Airline:

Please note that in one departure all passengers may be flying different airlines.
Tour Manager may not be traveling with you on the flight.
We will issue your tickets irrespective of your visa documents have been submitted to our office or not. If you doubt your case, please talk to your sales staff before confirming the booking. Please note that as soon as tickets are issued one falls under ticket cancellation.
Please note that when there is a group block online check in is not possible.
Seat selection is now a days chargeable. If you wish to book seat of your choice, please contact your sales staff. The same can be done at additional charges.
Meals on board are subject to specific airline, please check the same on your ticket
Wheelchair needs to be requested at the time of booking

=>Transfers:

Tour manager may meet the group at the exit after Baggage Claim area or at the hotel if there are multiple arrivals. However, either the tour manager or the local representative will be there at airport to transfer you comfortably to your hotel.
Passengers who are not arriving with similar timings to Group (if different ticket than group), Transfer will be arranged but one will have to check themselves in the Hotel. (Transfer will only be provided if minimum of 2 persons traveling together at the time of arrival. Additional Charges applicable for single person’s transfer) Also we will be combining transfer for that hour arrivals so you may have to wait for some time till all persons arrive to get transfer.
Transfers do not wait longer than 1 hour after lending of the flight. If you are delayed one MUST inform our office. However, we can’t guarantee the transfer will be still there when you come out. You may have to catch a cab and there will be no refund for the same.
It is not possible to amend any transfers with in 48 Hrs. the service. In case any delay or missed connection or late arrival of the flight passengers will have to take a cab from the airport and there will not be any refund as the services are nonrefundable with in 48 Hrs. of the service

=> Visas:

Appointment Server is down many times during the day so it may be possible that it may take little longer to take your date.
You will have to go for fingerprint at VFS for both the visas. Please make sure that there is no mehndi or anything else on your hand which can interfere with taking biometrics.
If you are applying for 2 Visas you will have to update your bank statements again after 1st application is done.
Even if you have given documents early you are required to update you bank statement 3 days before submission date.
We include only visa fees in our Tour Cost. Any Extra services you take like SMS, Premium Lounge, Courier Charges etc. is not covered by Flamingo.
Visa Dates are difficult to get now a days. Many times, when we wait to know passenger’s preference our dates are gone so to give choices for visa date submission is not possible and you may not get a choice.
If You are an outstation Passengers who do not have VFS in their city:

a. If you are taking a tour which Includes UK and Schengen, you will have to come twice to VFS center to give your fingerprints. There are options to avoid the same or betterment possible please contact your sales Staff. Additional charges applicable.

b.VAYD (Visa at your doorstep) is a service provided by VFS for some of the consulates which additional charges ranging from 10K to 15K per person depending on the consulate. If you are willing to opt, please contact our sales staff.

=> Booking Process:

• What documents are Required for Initial Booking!

1. Passports Copies: First and Last Page (All Passports Must Be Valid for Minimum of 6 months from the date of Return.)

2. PAN Card Copies of All Passengers.

3. Fully Vaccination Certificate with Booster Dose if taken or If Booster is not taken then please take the same and give updated certificate. (Non-Vaccinated or Partially Vaccinated Travelers are not allowed to Travel)

4. If Billing is to be done in Company Name Company GST Number & Certificate is required.

5. Deposit of INR 50000/- per person to confirm the seat on the tour.

6. Expired Passport & Booking:

If you book your Tour knowing your or one of your family members passports is expired or in renewal, we will not confirm your seat in particular tour date.
If you want travel date only, in that case if passport do not come on time or appointments are not available to do the visas, cancellation will be applicable. Flamingo Transworld cannot be held responsible for the same.
If you wish to avoid such cancellation, please confirm the date once passport is received as per availability at the time.

• Information that you should Provide While Booking!

1. Your emergency contact details while you are on tour.

2. Meal request for the Airline and for the Tour (Choices are Veg or Jain Meals) (We understand Jain means No Onion No garlic & No Potato) (Please mention in Booking Form If you are Allergic to any foods) (If you have any more specific food request you can mention the same to the sales staff and in booking form. We will try to help with the same but DO NOT GUARANTEE availability of the same)

3. Billing Details (If you need to claim any GST or TCS or needs your Bills in your Company Account, GST No and Proper Billing details needs to be submitted before booking is made. To make changes in Our Accounting System after Invoice is raised is not Possible)

4. For Overseas Medical Insurance do mention if you have any exiting Diseases.

5. Inform your Sales Staff In case if you have anyone who is travelling with you is not very mobile and may require long time to walk or need wheelchair. In Europe we do have many cities where one is required to walk long, and city tour is by foot. So, check before booking that you are not booking any wrong Tour for you or your family.

6. Any Visa Rejection in Past.

• Understand Cancellation Policy!

It is very important to understand the cancellation Policy before booking. Especially understand cancellation in each scenario mentioned below.

1. In case if Visas are rejected

Cancellation Charge Incase Of Visa Rejection (Before 60 Days of Departure):

If UK Visas Rejected:

Visa Fees of UK Visas – Rs.15000/- per person

Service Charge – Rs. 5000/- per person

Ticket Cancellation – Rs. 25000/- per person

If Schengen Visas Rejected:

Visa Fees Of Schengen: Rs.10725/- Per Person

Service Charges: Rs.5000/- per person

Ticket Cancellation – Rs. 25000/- per person

(Within 60 Days of Departure):

Cancellation will be charged as normal Tour Cancellation Policy as mentioned below.

*5% Service Tax is applicable on all cancellation amounts.

2. In case if you cancel the tour Personal Reasons

60 Days or more prior to Departure: Rs. 75000/- + Full Payment of Ticket (I Individual Ticket)

59 to 35 Days prior to Departure: 50 % of the Tour Cost + Full payment of Ticket (if Group Ticket)

34 Days to 15 Days prior to Departure: 75 % of the Tour Cost

Within 15 Days of Departure: 100% of the Tour Cost

*5% Service Tax is applicable on all cancellation amounts.

*All our tickets are being group tickets are non-refundable within 25 days of departure.

3. If we cannot Operate the tour due to Circumstances Beyond our Control

What actual expenses such as Visa Fees & Ticket Cancellation or Credit Note as per Airline Policy will be deducted from your deposit and Credit Voucher will be given for the remaining amount. Airline Credit Note if any will be transferred as well.

Payment Policy to Make the Payment!

1. Please note that 5% TCS (Till June) or 20% TCS (July onwards is applicable on our Total Tour Cost which can be claimed back. (Which is not part of Total Tour Cost and Charged additionally.)

2. Rate of Exchange at the time of Payment.

a. ROE will be applicable on the day when you make final payment.

b. ROE will be determined as per interbank rate on www.xe.com + Rs.1 on the day when you make payment.

c. We are ok if you wish to make early payment in case EUR exchange rate goes lower. You can keep checking the same on www.xe.com.

3. Payment Schedule:

Initial Deposit: INR 50000/- per person is required to confirm the seat.

2nd Payment 75 Days before departure: INR 80000/- (This payment will be considered toward Indian Rupees Cost)

3rd Payment 45 Days before departure: INR 50000/-

4th Payment 30 Days before departure: Remaining Full Payment

*1st and 2nd payment will be considered towards INR part payment only.

Please note that it is mandatory to adhere to above schedule no matter if your visas are received or not.

How Booking Process Will Follow!

1. Once you fully understand our Tour Product and what to Expect from Product. Please read all Terms and Conditions carefully along with above document and sign Booking Form with all your details.

2. Once booking is completed, please pay Initial Deposit to confirm your seat on the tour. Once the formalities done you will be handed over 2 Documents Visa Check List & Questionnaire to be filled for Visas.

3. Once the Initial deposit payment is made your bookings will be processed, and tickets will be issued. (If your tickets are Individual tickets Full Payment of the same along with deposit is mandatory)

4. Please make sure to submit all documents as per visa check list and filled questionnaire within 3 days of Booking. You may take up to 7 days if you are booking your tour at least 100 days in advance.

5. Once all documents are absolutely complete then only, we will only be able to take visa date. Even if single document is pending visas cannot be processed.

6. For UK Visa: You will be sent your visa form to check. Please check in thoroughly and give a go ahead only then our visa team will take the date for submission of UK visas.

7. For Schengen Visas: If your visas are being applied from Swiss following amount needs to be paid directly in cash at the VFS

Adult: INR 7800 // Child (4 – 6 Years) INR 4800 // Child (Below 4 years) INR 840

This amount is included in your tour cost and will be reduced from Final Payment that you make.

8. Time Taken Once Documents Submitted with VFS

a. UK – 2 weeks to 4 weeks

b. Schengen – 10 to 25 Working Days

*These are tentative durations. Processing time may change depending on the rush with consulate.

9. Pre – Departure Presentation: This is the event which we usually organize between 1 month before departure to 1 week before departure. The date and time will be conveyed to you by our office. Please note IT IS MANDATORY TO ATTEND THE SAME as it is not possible to repeat the same afterwards.

10. Final Tour Documents: The same will be handed over to you 7 Days to 3 Days before your departure. (As per company policy we are not allowed to dispatch any tour documents if Payment is not fully done). We will try to adhere to above timeline in all cases. In case of heavy rush or unavoidable circumstances we may have alterations in the same.

11. You will be then directed to below persons for Further Process of your Tour Bookings, Visas & Payments.
